When you contact 9XR Solutions, submit an inquiry or request a quotation, we may collect the following information: • Your name, email address and contact number. • Business or organization name and country. • WhatsApp number and preferred communication method, where provided. • Project requirements, requested features, budget, expected timeline and other details submitted voluntarily. • Records of quotations, agreements, purchases, support requests and business correspondence where applicable. Our website and hosting infrastructure may also process limited technical information, including browser details, IP addresses, request information and security-related logs, as necessary for website delivery, troubleshooting and protection. We ask users not to submit passwords, banking credentials, identity documents or sensitive personal information through ordinary website inquiry forms unless specifically required through an agreed secure process. Customer information processed within separately deployed software products may be subject to additional product-specific or customer agreements.

9XR Solutions uses selected third-party services to operate its website and conduct business. These include: • Cloudflare: Provides website hosting, content delivery, security and supporting infrastructure. Website inquiries are stored using Cloudflare D1, while relevant uploaded website media may be stored using Cloudflare R2. • Zoho Mail: Provides business email hosting and communication services through our official 9XR Solutions email addresses. • WhatsApp: Customers who choose to contact us using WhatsApp communicate through a service operated by Meta and are also subject to its applicable privacy practices. Additional hosting, deployment, domain, payment or technical service providers may be involved where separately agreed for customer projects. Relevant information may be processed by these providers, including outside Sri Lanka, subject to applicable data protection requirements and appropriate safeguards. We share personal information only where reasonably necessary for the relevant service, where authorized, or where legally required.
Our website uses limited browser storage and necessary technical mechanisms to support functionality. These may include: • Local storage for remembering a visitor's selected light or dark appearance. • Session storage for remembering whether a visitor has dismissed an introductory or promotional display during a browsing session. • Secure authentication cookies used for administrator access. • Technical security and performance mechanisms provided by our hosting infrastructure. Our current website implementation does not include third-party advertising trackers by default. If additional analytics, marketing cookies or tracking technologies are introduced, this policy and any required consent mechanisms will be updated accordingly. Visitors can clear browser-stored preferences through their browser settings. Disabling essential storage or cookies may affect certain website functions.
9XR Solutions aims to retain personal information only for as long as reasonably necessary for the purpose for which it was collected. Under our proposed retention practice: • General inquiries that do not lead to a purchase or ongoing project are ordinarily retained for no longer than 12 months after the last substantive communication, unless continued retention is reasonably necessary. • Active customer, project and support records are retained while required to perform our contractual commitments and resolve related matters. • Financial and transaction records are retained for the applicable statutory retention period, including at least five years where required by Sri Lankan tax law, and longer where legally necessary. • Information relevant to disputes, security incidents or legal proceedings may be retained for an additional lawful period. Individuals may contact us to request access to information we hold about them, correction of inaccurate information, or deletion of information that is no longer necessary. We will review requests, verify the requester's identity where necessary, and respond in accordance with applicable legal requirements.
